Why are SO many Vendor Rep’s Non-Compliant?
– Vendor org’s have reduced headcount to cut costs, resulting in Rep’s covering larger territories than ever.
– Laziness is a factor, but it’s difficult for Rep’s to be compliant with so many policies – let alone effectively cover the customers.
But that’s not your fault or problem. It’s theirs!
Our Process Steps…
They must adhere, or they aren’t welcome here!
Organizations rely too much on OLD “I acknowledge” check-the-box honor system forms.
– These may cover you legally, but they don’t drive adherence when covered in this manner.
– Your important policies are in place to be followed. Not merely acknowledged!

Our Code-of-Conduct processes are not intended to replace Vendor Credentialing Systems.
– Vendor Credentialing Systems are good for documenting whether Vendor Rep’s are registered and compliant.
– We provide assurance they’re actually in your system, are currently compliant, and always adhere to your policies.
Step 1:
New Vendor Application & Registration
Those not currently working with you – first need to work with us.
1. Divert ALL New Vendor Sales Solicitors to VendorGrAde.
– Simply inform them you have a application / registration process to follow and send them to us.
2. They complete a “New Vendor Application” seeking approval to work with you.
– We provide the application to your Designated Individual(s) to review.
3. You Approve or Reject each new vendor request based on your needs.
If Approved: They’ll be able to work with you but NOT until registered and orientated on your Conduct policies.
If Denied: We’ll let them know their products/services aren’t needed, nor are they permitted to solicit your organization.
Nothing is perfect, but we help increase the probability your policies are adhered to.
Step 2:
Vendor Representative Orientation
Have us Orientate your New Vendor Rep’s on your Policies. (Examples below)
Basic Do’s & Don’ts Conduct:
– All Vendor Rep’s must be registered in your Vendor Credentialing System.
– All Vendor Rep’s must comply with Vaccine & Immunization requirements.
– All Vendor Rep’s must Check-In and have meetings verified prior to proceeding.
– NO being onsite without confirmed appointments. (Zero Tolerance!)
– Meetings must be conducted in the main lobby, cafeteria, or coffee shop. (No Clinical/Patient areas.)
– Those found in unapproved facility areas will be escorted out immediately by Security.
Data Security Requirements:
– Cyber Security Risk Mitigation Policy
– HIPPA Patient Data / Hospital Employee Data Privacy Policy
Vendor Communication Protocols:
– Vendor Rep’s are not to solicit/contact anyone other than the primary project owner(s).
– NO “cold call” solicitation in any form with CXO’s, VP’s, or Physicians.

Step 3:
Halting Unwanted Sales Solicitation
If you don’t need them at this time – you don’t need them wasting your time!
Don’t you hate the daily deluge of Sales Calls, endless Emails, and Rep’s dropping in with NO appointment?
– Especially from those you never intend to work with?
Ever considered the accumulated time wasted on your organization by these disruptions?
– Most Sales Rep’s strategically “go around” proper channels targeting CXO’s, VP’s, Physicians, etc. Those with the least time for distractions!
– Engagement is important when needed, but processes need to be conducted with the right people, at the right time, and in the right manner.
*Simply divert all Unwanted Sales Solicitors to your partner, VendorGrAde.
– Arm your Front Desk, Admin Staff, and Dept Leaders with the ability to send them our way.
– We’ll take it from there to get them out of your hair! (If you haven’t pulled it all out.)
– We’ll proceed with conducting your Registration Application process. (Step 1 above)
Nothing can stop all unwanted solicitation, but we can certainly diminish it. Especially with those chronic repeat offenders!
