Your Challenges

YOU MUST CHOOSE…BUT CHOOSE WISELY!

Results of these important projects are only as good as the focus and discipline put into them.

Poorly executed projects can lead to costly mistakes, even picking the wrong vendor or solution.  Thus, well-informed and educated decisions are crucial as your organization will live with them for years to come.

Decisions made by just a FEW people – for ALL the people!

Large procurements can be daunting with migraine-inducing levels of info to consider.

How bad is that Buyer’s Remorse feeling when realizing the wrong choice was made?  (Often $1+ Million choices!)

These projects take a lot of time, but far too much of your time is spent just setting up tedious vendor logistic steps.

Plus, it’s not like the demands of your work week stop during the projects!

Typical Purchase Projects

Do Your Projects also tend to go like this?

1.  Your committee starts out optimistic and ready to find the best solution!

2.  Your poor team endures Demo’s from vendor after vendor after vendor.

Each vendor claiming they’re the best, countless Bell & Whistle options to consider, and specs, specs, more specs.

3.  Fast-forward and they aren’t sleeping well and just want it to be OVER!

Right when the most focus and clarity is needed, they’d rather just flip a coin to make the decision.

4.  The BIG Decision is made by the team, but others question why that vendor was picked.

5.  Post-Sale:  The Installation & Training Process goes FAR differently than you were told it would.

– Your Perspective:  Purchasing the new product or service obviously just begins everything when you order it.

– Vendor Perspective:  Most of their focus and attention on you is over “before the ink is dry” on your order.

What We Do for You…

There’s SO much to consider when making these crucial organization-wide decisions!

Many use a scoring matrix, but they’re often too vague – not diving deep enough into your specific needs.

Tailor-made dynamic Scorecards should be used to draw out the best decisions for your unique needs.

Have us Initiate, Coordinate, and Officiate the Vendor Logistic Steps!

1.  We work with you upfront to create customized VendorPick scorecards.

Objective & Subjective criteria to help capture aspects uniquely important to each project.

High-priority topics can be weighted heavier as desired for “decision sway power”.

2.  We send the RFP/Bid Request to participating vendors via secure portal.

They post their Bid Proposals back via the portal for you to begin reviewing.

3. We create a Schedule of Events Timeline for all parties to use.

– Milestone Examples: Bid request, Discovery Q&A sessions, Demo’s, Customer Visits/References, “No Vendor Contact” selection period, Negotiation period, and Purchase execution.

4.   We’ll enforce your “Rules of Engagement” that vendors must adhere to.

We can be the Single-Point-of-Contact vendors can to talk to during the project if desired.  (At least during a “No vendor contact” period.)

Not only saves time and distraction, but helps curtail sales tactics, “back door” conversations, and neutralize internal politics when team members have a strong bias for a certain vendor.

5.   We schedule ALL Demo’s or Presentations.  (Conducted at your site or virtually)

We’ll act as your concierge, coordinating times that work for all schedules – which can be daunting.

For preparation, we’ll instruct vendors on the exact content you Want and Don’t want covered.

6.  As you make decisions, we provide updates to the vendors.

We’ll inform those moving forward – and those who aren’t.  We’ll handle the awkward “Dear John” rejection conversations.

7.  We help coordinate Post-Sale Project processes.

Project Kick-off, Gantt chart timeline, essentially everything through successful Go-live.
